Do you have a record of what personal data you hold? Do you know what you use it for?
We record and hold as little data about yourself that you have voluntarily provided and is as necessary to compile and update the Compendium.
All we hold are:
· Emails you sent to compendium@wholeworld-view.org in order to join, access, amend or remove your entry in the compendium
· Data in the compendium itself
The use we make of it is purely to compile and maintain the compendium. The purposes of the compendium are set out in our terms and conditions.
Do people know you have their personal data and understand how you use it?
Every member of the compendium has voluntarily provided as little or as much data about themselves as they are happy to do. The types of information are clearly set out in the compendium categories.
The uses of the data are clearly laid out in the terms and conditions which every member of the compendium has agreed to upon joining.
Do you only collect the personal data you need?
We only collect data about yourself necessary to compile and update the Compendium. This is clearly set out in the compendium entry form online.
Do you only keep personal data for as long as it is needed?
The data is only held for compiling the compendium and keeping it up to date. We will keep your data as long as the compendium is operational unless you specifically request removal of your data at any time. If and when the compendium ceases to operate, we will then delete all data held in our system and online.
Do you keep personal data accurate and up to date?
Your personal data is kept accurate and up to date by providing any necessary change details to us. It is the responsibility of members to keep their information up to date and accurate. If members’ details are different from those in the compendium then they are required to fill in the edit/remove data form form or contact compendium@wholeworld-view.org with the changed details.
Do you keep personal data secure?
Data is stored in the following places:
All emails relating to the compendium should be addressed to compendium@wholeworld-view.org. These are held on the data processor’s laptop which is password protected and based at the data processors home.
Access to the compendium is by means of a password protected web page. Passwords are only issued to members of the compendium who have been approved to join the compendium. The compendium terms and conditions set out how members have agreed to use the compendium.
The compendium itself is embedded on Google Docs which states:
Customer Personal Data is personal data relating to data subjects who are in the EEA or the UK and the processing relates to the offering to them of goods or services in the EEA or the UK, or the monitoring of their behavior in the EEA or the UK.
Outside of EU and EEA, data protection will be subject to relevant laws.

Do you have a way for people to exercise their rights regarding the personal data you hold about them?
Members of the compendium can amend or remove their data at any time by filling in the edit/remove data form. This will generate an email request to the data processor via compendium@wholeworld-view.org who will then carry out the request as promptly as possible.
Once completed, this action will be confirmed back to the applicant.
Do you and your staff (if you have any) know your data protection responsibilities?
As a small voluntary organisation, there are no staff. However, the admin team are all aware of their data protection responsibilities.
